A Leading Professional Services Firm holds event at Woburn Forest

Case study

Objective

The purpose of the event was to focus on health and well-being for everyone within the company, who often work in a highly pressurised environment supporting their clients in mergers and acquisitions, disposals and business reorganisations.

There was a strong emphasis on looking after each other, as well as the environment. The theme fitted well with the Center Parcs proposition, brand and location.

Event Execution

The event which took place at the newly built Woburn Forest location in Bedfordshire was introduced with a short review of business performance and future opportunities, including a longer term macro-economic view given by a leading economist within the dedicated venue space consisting of a theatre style layout. Followed with various sessions by guest speakers, which included advice on healthy eating by a leading nutritionist, exercise and physical well-being by a leading expert and a session on psychological resilience by a leading psychologist.

Lunch was then provided by Center Parcs which met the nutritional advice of the speaker previously that morning.

The afternoon then involved a range of team building activities allowing delegates to participate individually or as a team in either low, medium or high energy sports. A selection of the 18 activities available included badminton, squash, tree trekking, boot Camp, bowling, adventure golf, table tennis and swimming. The events team at Woburn Forest then had only two hours to covert the space in the venue from theatre style to a gala dinner layout for 650 delegates.

The day concluded with pre dinner drinks on The Venue’s balcony which not only showcases the stunning vistas but ensured that there was adequate shelter from the elements, helped by the marquees that were set up prior to the event. Followed by a tantalising three course gala style dinner and awards ceremony. The use of the Sports Café was utilised for a late bar until 2am and breakfast packs were distributed to all lodges so that delegates could make their own breakfasts the following morning.

In total there were 650 delegates from all over the UK, including teams from Northern Ireland and Scotland. Transport solutions included chartering trains to and from London for 400 people to Flitwick station, coaches from other main regions and flights to and from Luton followed by coaches to Woburn.

There were a few areas that proved challenging. 400 delegates arriving by train who then needed a coach shuttle service from Flitwick station, organising activities for 650 delegates, providing an efficient check in process, making sure the correct luggage was taken to the correct accommodation and of-course catering for 650 people, both lunch, dinner and breakfast. This was overcome by meticulous planning, working closely with the client and providing a detailed brief to all of the relevant Center Parcs departments involved in delivering the event.

The feedback from the delegates was positive. They enjoyed their experience and definitely felt the venue was fitting for their health and well-being focus.
